Zero Tolerance

HAPPA is committed to ensuring staff and volunteers can carry out their duties and work in an environment which is free of harassment, abuse, and violence.

Any incident where an employee or volunteer is abused, threatened, assaulted, or harassed is unacceptable and will be reported to the appropriate authorities.

Failure to abide by HAPPA’s Zero Tolerance will result in any of the below action:

  • A report to the Police through either 999 or 101 (dependant on the seriousness of the circumstances)
  • Termination of any contract or service provision
  • A request to leave the Charity’s premises
  • Cessation of any booking or future booking
  • Refusal of entry or ban entry to Shores Hey Farm
  • Being limited to the channels in which you communicate with the Charity

There will be no right to any refunds.

Postage & Packing

Charges are £4.74 irrespective of items ordered within the UK. We do not deliver outside of the UK or to a Post Office Box Number.

Removing Items

To remove any items from your order, go to checkout and select remove or alternatively please select the minus icon in your shopping basket.

Delivery Schedule

We endeavour to dispatch items within 10 working days of receipt, subject to stock availability but please allow a further 7 working days before querying non-delivery. Items are sent from HAPPA via Royal Mail or DHL. If you have a query with regards to your order or returns, please contact the team on 01282 455992 or email enquiries@happa.org.uk.

Returns

You are entitled to cancel your order and return the goods within 7 working days for a full refund. Your refund will be paid within 30 days. You are responsible for the cost and risk of loss or damage when returning the goods, so you should take out enough postal insurance to cover their value. This cancellation policy does not affect your rights when we are at fault – for example, if goods are faulty. Any goods returned should be in saleable condition. Please note: Refunds of appeal, Sponsorship or general donations are not permitted.

None of these terms affect your legal rights and these are not diminished in any way.

Events

Consent Form

  • If the event requires a consent form to be completed, this must be returned within 48 hours prior to the event. These will be sent through via a Google Form once payment has been received from the paying adult. HAPPA reserves the right to cancel an activity or event if a consent form is not presented.

Arrival & Departure

  • Arrival and departure times will be stated by the Coordinator via email. Ring 01282 455992 if you are unable to pick up your child due to reasons out of your control.
  • Please report to Shores Hey Farm Reception on arrival and at departure (for events requiring collection of a minor).

Health & Safety

    • By partaking in equine events, participants are to be aware that sessions can involve interactions with HAPPA horses and ponies and understand the risk associated with involvement with animals. HAPPA risk assess their equines for suitability in all activities involving the general public. However, as is the nature of animals, at times they can be unpredictable.
    • In the event of an evacuation: members of the public with equines will be advised to move to the carpark field with their equines/ load them back onto transport, as per the hire of the Arena Terms and Conditions.
    • All participants attending the event must be of the required age limit or above.
    • At our discrepancy, we reserve the right to cancel an event due to unforeseen circumstances
    • We also reserve the right to remove a participant from an activity if their involvement in the activity is deemed as unsafe, inappropriate or affecting HAPPA’s ability to facilitate the event.
    • Please ensure that you/children attending the event are dressed appropriately. If attending an event that involves being around the horses, the following clothing rules should be adhered to:
      • No open toe shoes – ideally wellies or riding boots
      • No loose clothing
      • Extra layers if the weather suggests
      • Sleeve length to be no shorter than the elbow
      • For all day events a packed lunch will need to be brought with you/your child. Lunch is not provided.

HAPPA Event Cancellations (not including Own a Pony Day Or Pony Squad)

  • After purchasing your event ticket, you will have 48 hours to cancel after this period has passed no refunds will be given unless the event is cancelled by the host.
  • Transfer of names are accepted (if required a new consent form will be requested).
  • HAPPA reserve the right to move or cancel an event due to unforeseen circumstances beyond HAPPA’s control. At this point you will be offered an alternative date/s to move your booking to at no additional cost to yourself.

Café Event Cancellations

    • Deposits- For all events the deposit must be paid to secure your booking. All deposits are non-refundable.
    • Cancellation by the Organiser:

    The organiser reserves the right to cancel the event due to unforeseen circumstances. In such cases, all participants will be notified as soon as possible, all deposits will be transferred to another event or can be used as credit in The Café.

    • Cancellation by Participants:

    For cancellations made by the participants the deposits will be transferred to another event or can be used as credit in The Café. A change of participant can also be made with consent from the organiser.

    • Changes to the Event:

    The organiser reserves the right to make changes to the event programme, venue, or speakers. Participants will be notified of any significant changes as soon as possible.

Arena Hire/Competition Cancellations

  • Private arena hire: We do not permit booking private arena hire on the same day you want to use the Arena. Please refrain from doing this as we reserve the right to cancel or rearrange your booking.
  • Please give at least 4 days’ notice before the event date if you wish to cancel. Cancelling arena hire with short notice will incur a charge and we will keep your deposit (clinic hirers), and private hirers will incur a cancellation charge.
  • We can transfer the booking to another date if the provisions above are met, a £5 admin fee will be charged for Arena Hire/Competition.

Own A Pony Day Cancellations

  • Please give at least 4 days’ notice before the event date if you wish to cancel.
  • If we can resell your place on the event, you will receive a full refund, if we are unable to resell your place on the event a refund will not be given.
  • If we can transfer the booking to another date and the provisions above are met, a £10 admin fee will be charged.
  • Transfer of names are accepted; a new consent form will be requested.

Pony Squad Cancellations

Facility & Room Hire

  • HAPPA reserve the right to move or cancel the room hire due to unforeseen circumstances beyond HAPPA’s control. At this point you will be offered an alternative date for your room hire, at no additional cost to yourself (inclusive of Classroom and Café room hire)
  • Please be advised that Shores Hey Farm is open to the public 11am-4pm daily and at times can be extremely busy with visitors and noise pollution.
  • HAPPA staff will also be operating between the hours of 8 am – 4.30pm carrying out all necessary yard duties, this is inclusive of but not limited to; driving vehicles/farm vehicles, using loud equipment such as a leaf blower, washing machine cycles & maintenance, such as drilling.
  • HAPPA cannot guarantee what times these duties will be carried out during the day.

Safe Guarding

  • Coordinators running the event have passed an Enhanced DBS check and are provided with regular Safeguarding training.
  • During the event, child supervision ratios will be complied with throughout as recommended by governing bodies.
  • Coordinators are to comply with HAPPA’s Safeguarding Policy & Safeguarding Risk Assessments (copies available on request).

First Aid

  • We have designated First Aid Staff onsite during opening hours, who are professionally trained and will take care of you/your child, until which time the emergency contact you have provided has arrived. If necessary, we will also call the emergency services immediately.

These terms and conditions are designed to ensure a smooth and fair process for all parties involved. Thank you for your understanding and cooperation.
